Privacy Policy

This policy explains how VisitSoft, a visitor and front-office management application operated by Camsoft Group Limited, Douala, Cameroon ("we", "us"), collects, uses, stores and protects information, including information received from Google APIs. VisitSoft is available at visitsoft.org.

1. Information we process

• Account information for staff users: name, username, email address, role and activity logs.
• Visitor and contact information entered by the organisation: names, contact details, organisation, purpose of visit, appointment details, visit times and, where enabled, photos or badges.
• Messages and enquiries received through forms or connected channels configured by the organisation.
• Technical information: IP address, browser type and security logs used to keep the service secure.

2. Information received from Google

An administrator may connect the organisation's own Google account. VisitSoft requests only the access needed for the features the administrator turns on:

• Google Business Profile (scope https://www.googleapis.com/auth/business.manage): the business accounts and locations the user manages, location details, performance metrics, customer reviews and review replies, local posts, place action links and notifications about the profile. VisitSoft uses this data to display the organisation's profile performance, let authorised staff reply to reviews and publish posts, and alert staff about new reviews.
• Google Calendar: calendar events for appointments scheduled in VisitSoft, used to create, update and cancel those events and keep them in sync.

We store the OAuth refresh token and the data listed above only to provide these features to the organisation that connected the account.

3. Google API Services User Data Policy – Limited Use

VisitSoft's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular:

• We use Google user data only to provide and improve the user-facing features described above.
• We do not sell Google user data, and we do not use or transfer it for advertising, credit-worthiness or lending purposes.
• We do not use Google user data to train artificial-intelligence or machine-learning models.
• No person reads Google user data except with the user's consent, for security purposes, to comply with law, or where the data has been aggregated and anonymised for internal operations.

4. How we use information

We use information to operate VisitSoft for the organisation: registering and managing visits, scheduling appointments, handling enquiries and follow-ups, producing reports for authorised staff, securing accounts and meeting legal obligations. We do not use it for advertising.

5. Sharing

We do not sell personal information. We share it only with the service providers the organisation chooses to connect (for example Google, Microsoft or Zoom), with infrastructure providers that host the service on our behalf, or when required by law.

6. Storage and security

Data is stored on servers controlled by Camsoft Group Limited. Access tokens and other integration secrets are encrypted at rest. Access to the application is protected by authentication and role-based permissions, and connections use HTTPS.

7. Retention and deletion

We keep information for as long as the organisation uses VisitSoft or as required by law, and apply the retention rules the organisation configures. An administrator can disconnect a Google account at any time from the Integrations page, which deletes the stored refresh token. You can also revoke VisitSoft's access at myaccount.google.com/permissions. To ask for deletion of your data, email [email protected]; we respond within 30 days.

8. Your rights

Subject to applicable law, including Cameroonian law on the protection of personal data, you may ask to access, correct or delete personal information about you, or object to its processing. Visitors should normally contact the organisation they visited; you may also contact us directly.

9. Changes

We may update this policy. The date at the top shows when it last changed.
