How to choose visitor management software
Online comparisons mostly cover tools built for Europe and North America. In Africa other things matter: language, connectivity, WhatsApp, audience requests and where data is hosted. Here is what to check before you choose.
1. Start from your visitors, not the feature list
List who comes and why: appointments, audiences, document submissions, deliveries, candidates, members of the public at a counter. Good software fits these journeys; a tool designed for a European head office often only handles guests invited by email.
2. Your public's and your staff's languages
Check that the staff app and the public forms exist in your country's languages, for example English and French in Cameroon. An audience form in one language turns part of your public away.
3. The channels people actually use
Visitors write on WhatsApp and Facebook before they travel. Ask whether the software receives those messages, connects the website and Google, and lets an online conversation become an appointment or a visit.
- WhatsApp Business, Messenger and Instagram
- Website forms and live chat
- Hosts' Google and Outlook calendars
- Google Business Profile
4. Connectivity and hosting
If the Internet is unreliable, an online-only tool stops reception. Ask whether it can run on your own server over the local network, and where data is hosted if it is in the cloud.
5. Public-sector needs
Ministries, city halls and head offices need things consumer tools lack: audience requests reviewed then scheduled, document submissions with a receipt, mail, and a register management can consult.
6. Queues and screens
For service counters, check tickets, calling to the counter and the waiting-room screen. A screen that shows numbers, never names, protects privacy. A plain TV with a browser should be enough.
7. Personal data and access rights
Who sees what, how long data is kept, how a visitor exercises their rights: the answers must be clear. Insist on roles per department and a log of every action.
8. Total cost, not just the subscription
Add the subscription or licence, installation, training, equipment (webcam, scanner, badge printer, screen) and support. Ask for prices in your currency and a demo on your own cases.
The checklist
- Are your visitors' journeys covered?
- Are your public's languages available?
- Are WhatsApp, the website and calendars connected?
- Can it run on your premises without Internet?
- Does it handle audiences and document submissions?
- Do waiting screens hide names?
- Are access rights set by role?
- Is the total cost known in your currency?
