What a good audience request includes

Who you are and whom you represent, the exact subject, what you expect from the meeting, your availability and how to reach you. One page is enough: the secretariat should understand the request in seconds.

Attach useful documents, but keep the letter short. Quote a reference if the subject has already been raised in writing.

What if the institution takes requests online?

More and more administrations and head offices receive audience requests through an online form: the requester confirms their email, gets a reference and follows the request without travelling. VisitSoft provides this form to the institutions that use it.

Frequently asked questions

Whom should I address the letter to?

The official you want to meet, with their exact title, through their secretariat.

How long should I wait for an answer?

It depends on the institution. If it offers online tracking, use your reference rather than calling.
