Before the visit
Invite from Google or Outlook. VisitSoft handles the rest.
Hosts invite visitors from the calendar they already use. VisitSoft picks up the appointment, notifies reception and manages the whole workflow, from confirmation to check-in.
What you get
Google Calendar and Outlook
Appointments stay in sync with the host's calendar, with a Zoom or online link when needed.
The whole workflow
Request, approval, confirmation, rescheduling, cancellation and check-in.
Individual calendars
Each host has their own calendar that respects work hours, leave and missions.
RSVP links
Guests confirm or decline without creating an account.
Reception prepared
Reception sees who is expected, for whom and when.
Reminders

How it works
- Connect calendars
Each host signs in once with Google or Microsoft.
- Invite
Create the appointment in VisitSoft or in your usual calendar.
- Receive
On arrival, reception finds the appointment and checks the visitor in within seconds.
Why appointments get lost
The director agrees a meeting by phone, the assistant writes it in a notebook, reception is not told and the visitor waits at the desk while someone looks for who invited them. Or a meeting is booked while the host is away on a mission. These all come from one problem: the information is scattered.
VisitSoft brings together the host's calendar, the visitor's invitation and the list of people expected at reception. One source that everyone sees from their own desk.
Keep the calendar you already use
Hosts do not change their habits. Those who work in Google Calendar or Outlook connect their account once; their visitor appointments come into VisitSoft and stay in sync. Those without an online calendar create appointments directly in VisitSoft.
When a meeting is online, the meeting link travels with the appointment, through Zoom or the calendar's own video meeting.
The whole journey, from request to arrival
- Request or invitation, with purpose and host
- Approval if your organisation requires it
- Confirmation by the visitor through a link, with no account to create
- Reschedule or cancel, with every party informed
- Arrival: reception finds the appointment and checks the visit in with one click
The host's real availability
An appointment should never land during leave, a mission or outside working hours. VisitSoft takes into account each host's working-hours profile, leave, permissions and missions recorded in work-hours management.
Fewer no-shows, shorter waits
Visitors who confirm are more likely to turn up, and reception prepares their arrival: badge, room, person to notify. Appointments also spread arrivals across the day, which cuts waiting at the desk.
Reports show appointments per host and department, cancellations and no-shows, so you can adjust how you work.
