Before the visit

Online audience requests, reviewed and scheduled

Citizens, partners and service users request an audience from your website. Each request gets an AUD reference, is verified by email, then reviewed and scheduled by the secretariat — no paper register, no repeated calls.

Request an audience

How it works

  1. Publish the link

Copy the audience form link from VisitSoft and add it to your site.

  2. Receive and verify

The requester confirms their email; the request lands in the register.

  3. Decide and schedule

The secretariat approves and schedules, and the requester is informed.

An audience is a request before it is an appointment

In a ministry, a city hall or a head office, an audience is not booked like an ordinary appointment. The requester states their purpose, the secretariat reviews it, consults the official and decides: accept, redirect to another department or decline. This often happens by letter, phone calls or repeated visits to the secretariat.

VisitSoft moves this process online without changing its logic: the request arrives, it is reviewed, then a decision is made and communicated.

What the requester does

  • Fills in the form published on your website: identity, organisation represented, subject and reason
  • Confirms their email address; without this, the request is not reviewed
  • Receives an AUD reference and a private link to follow the request
  • Is told the decision and, if accepted, the date and time

What the secretariat does

Each verified request lands in the audience register, already routed to the right department by its subject. The secretariat reads it, adds notes, proposes a slot to the official or gives a reason for declining. On the day, the audience appears in reception's list of expected visitors.

You define the subjects: support request, partnership, dossier submission, complaint, presentation. You then see how many requests arrive on each subject and how long it takes to answer them.

Fewer calls and wasted trips

The tracking link saves requesters from calling or travelling to ask about progress. Email verification filters out frivolous requests. The secretariat works from a clear list instead of piles of letters.

Publishing the form

The audience form is a link you add to your website, your Facebook page or your email signature. It works on a phone and needs nothing installed by the requester.
